Navigating your Formstack Account

FormStack Allows you to send documents and emails from Xeppo using pre-coded templates, thereby prefilling all the clients' data for you. If you are not currently using Formstack and would like more information, please contact us at support@xeppo.com.au

Navigating the Home Page

When you log into Formstack Documents, you will be presented with the home page. On this page you can see the following:

  • Your current merge usage. This resets monthly.
  • The User Menu. From this menu, you can view any accounts that have the authorisation to send documents, such as SharePoint or an e-signature product.
  • The Documents Menu. This is where you can view all document templates you have available to merge.

Navigating the Documents Page

Selecting Documents from the top menu will take you to the Documents page. On this page you will have access to two separate folders, Shared and Your Practices Folder. 

The Shared folder contains a letter and an email template to assist you in creating your own. The Practice folder contains specific templates such as a Letter of Engagement, TFN Authority and Third Party Authority. If you are using our SharePoint integration, this is also where the Create SharePoint Folder document is housed. 

You can select the name of the folder to view all the documents within it.

Once you have selected the folder you will be able to view all the document templates within it, when these documents were created and their current status.

Document Settings

Selecting the name of the document will take you to the Document Settings for that document template.

Firstly, an overview of previous merges is displayed. This includes recent and historical merges. If you have your SharePoint connected, the SharePoint folder will also display.

Additional tabs available include:

  • Manage File. This tab allows you to download the current file and update an existing document. Information on how to update an existing document is available below.
  • Deliver. This tab allows you to set delivery methods, such as sending documents to SharePoint or for digital signing.
  • Settings. This tab allows you to adjust the settings of this document. From this tab, you can adjust:
    • The name of the document
    • The output to be in a specific format, such as a Word document or a PDF
    • The name of the file when it is merged
    • The time zone. The time zone for newly added document will default to a US time zone. This should be adjusted to your local time zone, as it can affect dates displayed in the document.
    • The status of the document. Documents in Active or Test Mode will display in the merge document options in Xeppo, however, documents in Test Mode will have a Sample watermark when merged.

Updating and Uploading Documents

You can easily update document templates that are housed in Formstack. Select the Manage File tab within the document template you wish to update. You can download the current document if required so you can make updates, or use a version you have saved.

Once you have completed the updates to your document, select Upload File. This will update the file to the new version. You can view previous versions and restore your document to previous version via the Version History.

If you would like to add a new document template to Formstack, first select your practice folder, then select New Document. This will ensure the document template saves in the same folder as the others you are currently using.

Select Upload pre-built Template, then Choose file to upload the document template you wish to use.

Please Note
When uploading a document template into Formstack, the document must contain coding Formstack can use to merge. Some of the commonly used coding used in Formstack is available here, or you can use the Best Practice Document Templates, available here, as a guide on coding that is available to be merged.

Re-authenitcating your SharePoint Connection

Occasionally, you may need to reauthenticate your SharePoint in Formstack. This can occur if the
user who originally connected SharePoint to Formstack has changed their password or is no longer
active, or if the connection has not been used in the last 90 days. If you have SharePoint as a delivery
method for your documents, you will not be able to merge those documents until this has been
resolved.

To reauthenticate your SharePoint:
1. Log into Formstack Documents. Select the name of your Practice from the top right of the
screen, then select Delivery Accounts.

2. Select re-authenticate next to your SharePoint account. This will prompt you to log into your
Microsoft Account. You must have Owner permissions in SharePoint to re-authenticate this
connection.
