Term Xeppo Definition
Group A Group brings together related Client entities within Xeppo and provides cumulative data for those entities.
Xeppo Group Code A unique identifier for the Xeppo Group.
Client A Client, also known as a Member of a Group, can be an Individual, Company, Partnership, Trust, Super Fund or 'Other' entity. Every Client within Xeppo exists within a Group. 
Xeppo Code A unique identifier for the merged Client record, containing one or more source client records.
Relationship A Relationship can exist between Client entities within a Group. Relationships can be AFSL, Agent, Is Daughter, Is Father, Is Partner, Manager, Partner, Practice.
Views Views are a saved Filter of data within Xeppo. Complex queries can be generated in the Search Screen for Groups, Clients and the following Apps - Activities, Documents, NetWorth, Sales.
Filter Filter options allow a user to select one or more conditions to limit search results of the data being searched.
Display Display allows you to select the data fields to be displayed in your view, the order in which to display them and which column to sort them on (Descending or Ascending).
Search Screen The Search Screen contains all the elements for creation of Views - Results, Filter, Display - as well as any associated actions that may be available such as updating tags, exporting the data, or creating activities on bulk.
Results Results are the outcome of your query created via the Filter in the Search Screen.

Activities App - Projects & Activities


Term Xeppo Definition
Project/s A Project is a collection of connected Activities ordered in a customised way. A Project can be used to create a workflow process, ie. New Client Process.
Activity/ies Activities are the recordable elements of Projects, Leads or Opportunities. Activity Types are defined as a call, email, meeting, note or task.
Activity Type
  • Call - either received or made
  • Email - either received or sent
  • Meeting - a record that is required to be recorded
  • Note - any commentary that is required to be recorded
  • Task - any action that is required to be carried out such as the booking of a meeting, preparation of documents, etc
Action/s The automated Actions to occur based on the Triggered outcome of an Activity. The Action could be to Create Project, Create Activity or Merge Document.
Trigger The conditions under which further Actions occur. Triggers can be the commencement, completion or cancellation of the Activity.
Merge Document Merge a coded document with data from Xeppo to generate automated emails and office documents (word, excel, powerpoint).
Activity Status
  • Pending - No Start Date entered but has not been completed
  • Open - Start Date set but has not been completed
  • Due - Due Date is today but has not been completed
  • Overdue - Due Date has passed but has not been completed
  • Completed - Completed Date set
  • Cancelled - Activity Cancelled (e.g. was in a project but wasn't required at the time)

Sales App - Leads & Opportunities


Term Xeppo Definition
Leads Leads are the prospective clients outside your existing client base. They could be individuals or entities know from your own network, referrals from clients or other sources, or a cold contact either by phone or from your website. They are to be approached to ascertain interest. Leads turn into active Opportunities when you Qualify them.
Opportunity/ies Opportunities are either Leads that you Qualify or clients identified within your existing client base that you could cross-sell to (ie. Accounting client who needs a Financial Plan).
Qualify You Qualify Leads once you had made contact and ascertained their interest in exploring the opportunity further (ie. such as to obtain a quote). You must Qualify Leads in order to create an Opportunity.
Pipeline A Pipeline is the customised stages an Opportunity goes through before either becoming a Client or resulting as a Lost Opportunity.
Potential Potential Opportunities are those identified by the Automated Rules you set. This allows you to review them and decide whether they should become Active or be Ignored.
Ignored Any Potential Opportunities not to be pursued, for whatever reason, should be categorised as Ignored. This will stop them from continuing to present as Potential Opportunities.
Active Any Potential Opportunities to be pursued should be categorised as Active.
Won Opportunities that progress to Client status should be categorised as Won to remove them from your active Opportunities listing.
Lost Opportunities that do not progress to Client status should be categorised as Lost to remove them from your active Opportunities listing.
Automated Rules Automated Rules allow you create queries to identify potential cross-sell Opportunities.
